Minutes of the Meeting of the 'Friends of Calstock Parish Churches' (FCPC)

Held on February 25th 2015 at 7.30pm at Jenny Snuggs

1. Apologies: Kathy Thomas, Valerie Dillow.

2. Election of Chairperson: Jenny Snuggs was elected nem. con.

3. Election of Vice Chairperson: Ann Ravenscroft-Hulme was elected nem. con.

4. Election of Secretary: David Grieve was elected nem. con.

5. Election of Treasurer: Mary Deacon was elected nem. con.

6. Election of Trustees: Lorraine Palmer, Ann Ravenscroft-Hulme, Caroline Lake, Debbie Crocker were elected nem. con.

7. Membership; Cards: Debbie Collection of subs: Jenny (Harrowbarrow), Ann (Calstock) and Caroline (Gunnislake). Register of Members: Debbie.

8. Opening a Bank Account: Jenny had carried out some research into the requirements and it was agreed that we would use Lloyds as there is a convenient branch in Callington. Mary will action this.

9. Publicity: Debbie will set up a Face Book page, David is developing web pages. Jenny is doing something to go in the Harrowbarrow and Metherell news which she will send to Caroline for Gunnislake Gateway and to Peter Bonsey for Calstock news. This could also be sent to people who have moved away but who might still be interested.

10. Fundraising and Events: "Local Giving" David to investigate. Jenny reported that this year Harrowbarrow and Metherell WI have agreed to support FCPC. 'Friends' should get reduced ticket prices for events to encourage people to join. The following events were provisionally agreed: VE day tea, Saturday 9th May 3 - 5pm at Harrowbarrow Village Hall. Cake, sandwiches, tea/coffee 4 pounds. Lorraine will ask the Hall committee to be involved and share proceeds. Ask occasional choir, Caroline will do tickets. Picnic at Harrowbarrow Village Hall (grounds) on Sunday 7th June 12.00 - 2.00pm. Used (good condition!) book sale, Gunnislake Church hall on Saturday 4th July (do tea / coffee and biscuits). Ann to action.

11. A.O.B: Person to liaise with PCC. Left pending till after the Annual Parish Meeting when a new PCC will be elected. Jenny and her grand daughter were thanked for coffee and cake. Date of next meeting: Monday 30th March at 7.30pm at Jenny Snuggs.

Minutes of the Meeting of the 'Friends of Calstock Parish Churches' (FCPC)

Held on March 30th 2015 at 7.30pm at Jenny Snuggs

Present: Jenny Snuggs (chair), Valerie Dillow, Caroline Lake, Ann Ravenscroft-Hulme, Lorraine Palmer, Debbie Crocker, Mary Deacon, David Grieve.

1. Apologies: Kathy Thomas.

2. Matters Arising from the Previous Minutes, on 25th February 2015: Covered in rest of agenda.

3. Membership: There were 41 initial expressions of interest. Debbie suggested a A4 size membership application form, folded into 3. Names to go on these: Membership Sec. Debbie and Sec. David. There should also be links to the web site and face book.
Membership cards are being designed. Jenny has put information about membership in a box in the PO.

4. Bank Account: Mary reported that herself, Jenny and David had been to Lloyds bank with paperwork and the account should be ready by 10th April, once we had received a confirming letter (+ paying in book and chequebook) we would be able to use the account.

5. Publicity: Caroline has written something which should be in the latest 'Gateway'. Caroline agreed to do tickets for events, Debbie agreed to do posters and it was suggested that Kathy Thomas could be asked about basic posters. These will soon be needed for the VE day event.
We should involve groups who use the local halls to spread publicity about our events.

6. VE Day Tea: Caroline handed out sample tickets, Some changes were agreed, 80 will be required.
Harrowbarrow W.I. and Social Committee have agreed to assist.
We will try to obtain loan of appropriate memorabilia and pictures from the Parish Archive for display.
A 'sing along' is planned and 'Mr Churchill' is expected to attend(!).
Four or five different sandwiches will be provided + 'tray bakes': jam tarts, Victoria sponges and fruit cakes.
Jenny has bunting and Glen Miller casette tapes.
We also need raffle prizes.

7. Parish Picnic: This can not be held on 7th June. It was agreed that we should move to 5th July if possible.

8. Book Sale: Time 11.00 - 3.00 agreed. on Saturday 4th July in Gunnislake Church hall. Tea/Coffee and biscuits will be available. Help will be needed with collecting, transporting and storing books. Set up from 9.00. Posters will be needed.

9. Harvest Supper: 26th September, Caroline to ask Kate about the "Occasional Choir" singing.

10. A.O.B: Suggestions for other types of events: Bridge night, Bingo, Shrove Tuesday/Pancake party.

Date of Next Meeting: At 7.30 on Monday 27th April 2015 at Jenny Snugs.

Minutes of the Meeting of the 'Friends of Calstock Parish Churches' (FCPC)

Held on April 27th 2015 at 7.30pm at Jenny Snuggs

Present: Jenny Snuggs (chair), Valerie Dillow, Caroline Lake, Ann Ravenscroft-Hulme, Lorraine Palmer, Mary Deacon, David Grieve.

1. Apologies: Debbie Crocker, Kathy Thomas.

2. Matters Arising from the Previous Minutes, 30th March 2015: Covered in rest of agenda.

3. Membership: Debbie provided a sample membership application form. Three minor changes were made and this was accepted.

4. Bank Account: Mary reported that she had been following up delays to the opening of the bank account by Lloyds Bank. She has been told that it should be active within the next few days.

5. Publicity: Caroline has written a note which appeared in the latest 'Gateway'. Caroline agreed to do tickets for events, Debbie agreed to do posters and Kathy Thomas agreed to do basic posters.

6. VE Day Tea: This has had to be cancelled due to lack of ticket sales, probably caused by a large number of events being on around this time. People who offered assistance are being informed.

7. Parish Picnic: This is planned for 5th July, final checks are needed (with Chris) to see that planned arrangements are ok.

8. Book Sale: Time 11.00 - 3.00 agreed. on Saturday 4th July in Gunnislake Church hall. Tea/Coffee and biscuits will be available (DJG). Books - in good / clean condition - can be left at Calstock Church, Mary will leave a suitably labelled box for books in Gunnislake Church. Set up from 9.00. Posters will be needed and information will be put in 'Grapevine'.

9. Harvest Supper: 26th September, Caroline to ask Kate about the "Occasional Choir" singing.

10. A.O.B: Suggestions for other types of events: Bridge night, Bingo, Shrove Tuesday/Pancake party. Ask Calstock singers if they would be willing to do a concert. 'Pop up' charity shop. Fish and chip supper - mobile van? Link 'sing along carols' with Christmas tree event. Selling Christmas cards, Mary to enquire about possible costs. The possibility of purchasing boards for events is being investigated.

Date of Next Meeting: At 2.30 on Thursday 18th June 2015 at Jenny Snugs. Mainly to discuss book sale, harvest supper and Christmas cards. David Grieve, Hon. Sec.
